About the Role

Reporting to the CFO, this is a varied role combining accounts payable, purchasing, supplier management and financial administration.

You will work closely with our Finance and Operations teams, suppliers and subcontractors to ensure invoices are processed accurately, purchasing requirements are met efficiently and project teams have the goods and services they need, when they need them.

This is an ideal opportunity for someone who enjoys a hands-on role, takes pride in accuracy and organisation, and can confidently manage competing priorities in a fast-paced environment.

Key Responsibilities

Accounts Payable

• Accurately process supplier and subcontractor invoices.
• Review, code and match invoices to purchase orders and ensure correct GST treatment.
• Manage invoice approvals in line with delegated authorities.
• Prepare and process weekly, monthly and ad-hoc supplier payments via EFT and BPAY.
• Reconcile supplier statements, fuel statements and Visa card statements.
• Manage supplier details and set-ups through EFTsure and our finance ERP system.
• Respond to supplier account enquiries and resolve issues promptly.
• Maintain accurate finance and supplier records and databases.
• Ensure purchases align with relevant subcontract and supplier agreements.
• Build strong working relationships with internal teams and external suppliers.

Purchasing & Procurement

• Process and manage purchase orders.
• Source new suppliers and identify opportunities to achieve cost savings.
• Obtain and assess supplier quotations.
• Negotiate pricing and commercial terms while maintaining quality standards.
• Coordinate purchasing requirements with project and operational timeframes.
• Follow up outstanding orders and monitor deliveries to ensure goods and services arrive when required.

Reporting & Analysis

• Respond to financial enquiries by gathering and interpreting relevant information.
• Prepare and distribute regular and ad-hoc reports.
• Assist with cost analysis and other finance-related reporting as required.

Team Support

• Work collaboratively with the wider Finance team and other departments.
• Share knowledge and assist with training team members where required.
• Provide support across other finance and administration functions as needed.
